Role Summary
We are seeking a Cafés Coordinator who is instrumental in coordinating our unique UDC approach and model. While this role is largely administrative and supports the Operations Manager, it is the heartbeat of our community operations.
You will facilitate direct communication with the public, UDC members, and volunteers , establishing and maintaining effective, lasting relationships with a strong customer focus.
Working centrally to support our five café locations, the Cafés Coordinator actively contributes to the overall operations of the dementia cafés with a genuine interest in achieving the organisation’s goals.

Role Responsibilities
This role requires;
Café Coordination: Coordinate communication and operations for five dementia cafés (Blackburn, Box Hill South, Burwood, Capel Sound and Sorrento). This includes sending fortnightly reminder emails to members and ensuring each café follows the same structure, policy, and program.
Team Support: Support the café facilitator team to create meaningful social environments by conducting fortnightly handover reports and providing further resources as needed.
Administration & CRM: Maintain updated CRM records for each café, including attendance and personal details. Manage general administration such as filing registration forms, correspondence, feedback forms and distributing surveys.
Member Engagement: Follow up on enquiries, register new members and be responsive in referring members to local support organisations when necessary.
Logistics & Planning: Ensure each café has the necessary equipment available to deliver programs. Conduct quarterly visits to each café to update the Café Facilitators’ resource folders.
External Liaison: Contact and arrange for professionals and industry experts to visit the cafés at the members’ request.
Experience
We are looking for someone who has the following experiences and proficiencies;
Dementia Knowledge: A good understanding of dementia, either through personal life or vocational experiences.
Management & Leadership: Experience managing people, volunteers, or leading a team (professionally or personally).
Technical Proficiency: Highly computer literate with strong working knowledge of the Microsoft 365 Business suite (Excel, Word, Outlook, MS Teams). You are proficient in navigating the internet and smartphone technology.
Community Collaboration: Experience collaborating with community groups and working in project-focused or goal-oriented teams.
Administrative Excellence: Highly organised and time-efficient , with the ability to set objectives and distribute workload appropriately.
Successful candidates:
The successful candidate will have the following;
Compliance: A clear Police Check and a current Working With Children’s Check.
Transport: Must have your own car and possess comprehensive car insurance. You will receive a car parking permit at Box Hill Town Hall and be compensated for agreed travel expenses.
Equipment: You will be provided with a UDC laptop and phone, including a monthly data and calls plan.
Support and Training
The successful candidate will have;
Induction: You will be inducted on the UDC philosophy and model, policy, procedures and how to support a team of café facilitators and volunteers. In the first 2 months, you’ll visit all our cafe sites and meet the wonderful cafe teams.
Ongoing Development: You will receive on-the-job training, with more formal dementia training with Dementia Training Australia intersected throughout the year.
Environment: You will work in a healthy and safe environment with your own desk in our UDC open-plan office.
Selection Process
The selection process for this role is designed to ensure the right fit for both the candidate and our community. It will involve;
Initial Screening: A preliminary phone screening.
Interviews: One to two interviews for shortlisted applicants.
Site Visit: An opportunity to visit a dementia café to observe the program and meet our volunteers.
Reference Checks: Professional reference checks, which must include a current or previous line manager.
Compliance: During the probationary period, UDC will facilitate the application for an up-to-date Police Check and Working With Children Check (WWCC).
