Role Summary <\/p>\t\t\t\t<\/div>\n\t\t\t\t

We are seeking a\u00a0<\/span>Caf\u00e9s Coordinator<\/span>\u00a0who is instrumental in coordinating our unique UDC approach and model<\/span><\/span>.\u00a0<\/span>While this role is largely administrative and supports the Operations Manager<\/span><\/span>, it is the heartbeat of our community operations.<\/span><\/p>

You will facilitate direct communication with the public, UDC members, and volunteers\u00a0<\/span><\/span>, establishing and maintaining effective, lasting relationships with a strong customer focus<\/span><\/span>.<\/span><\/p>

Working centrally to support our five caf\u00e9 locations<\/span><\/span>, the Caf\u00e9s Coordinator actively contributes to the overall operations of the dementia caf\u00e9s with a genuine interest in achieving the organisation’s goals<\/span><\/span>.<\/span><\/p>

Role Responsibilities <\/p>\t\t\t\t<\/div>\n\t\t\t\t

\n\t\t\t\t\t\t\t\t\t

This role requires;<\/p>

Caf\u00e9 Coordination:<\/span><\/b> Coordinate communication and operations for five dementia caf\u00e9s (Blackburn, Box Hill South, Burwood, Capel Sound and Sorrento)<\/span><\/span>. <\/span>This includes sending fortnightly reminder emails to members <\/span><\/span>and ensuring each caf\u00e9 follows the same structure, policy, and program<\/span><\/span>.<\/span><\/p>

Team Support:<\/span><\/b> Support the caf\u00e9 facilitator team to create meaningful social environments <\/span><\/span>by conducting fortnightly handover reports <\/span><\/span>and providing further resources as needed<\/span><\/span>.<\/span><\/p>

Administration & CRM:<\/span><\/b> Maintain updated CRM records for each caf\u00e9, including attendance and personal details<\/span><\/span>. <\/span>Manage general administration such as filing registration forms, correspondence, feedback forms and distributing surveys.<\/span><\/span><\/p>

Member Engagement:<\/span><\/b> Follow up on enquiries, register new members <\/span><\/span>and be responsive in referring members to local support organisations when necessary<\/span><\/span>.<\/span><\/p>

Logistics & Planning:<\/span><\/b> Ensure each caf\u00e9 has the necessary equipment available to deliver programs<\/span><\/span>. <\/span>Conduct quarterly visits to each caf\u00e9 to update the Caf\u00e9 Facilitators’ resource folders<\/span><\/span>.<\/span><\/p>

External Liaison:<\/span><\/b> Contact and arrange for professionals and industry experts to visit the caf\u00e9s at the members’ request<\/span><\/span>.<\/span><\/p>

Experience<\/p>\t\t\t\t<\/div>\n\t\t\t\t

We are looking for someone who has the following experiences and proficiencies;<\/p>

Dementia Knowledge:<\/span><\/b> A good understanding of dementia, either through personal life or vocational experiences<\/span><\/span>.<\/span><\/p>

Management & Leadership:<\/span><\/b> Experience managing people, volunteers, or leading a team (professionally or personally)<\/span><\/span>.\u00a0<\/span><\/p>

Technical Proficiency:<\/span><\/b> Highly computer literate with strong working knowledge of the Microsoft 365 Business suite (Excel, Word, Outlook, MS Teams)<\/span><\/span>. <\/span>You are proficient in navigating the internet and smartphone technology<\/span><\/span>.<\/span><\/p>

Community Collaboration:<\/span><\/b> Experience collaborating with community groups <\/span><\/span>and working in project-focused or goal-oriented teams<\/span><\/span>.<\/span><\/p>

Administrative Excellence:<\/span><\/b> Highly organised and time-efficient <\/span><\/span>, with the ability to set objectives and distribute workload appropriately<\/span><\/span>.<\/span><\/p>

Transport:<\/span><\/b> Must have your own car and possess comprehensive car insurance<\/span><\/span>. <\/span>You will receive a car parking permit at Box Hill Town Hall <\/span><\/span>and be compensated for agreed travel expenses<\/span><\/span>.<\/span><\/p>

Equipment:<\/span><\/b> You will be provided with a UDC laptop <\/span><\/span>and phone, including a monthly data and calls plan.<\/span><\/span><\/p>

The successful candidate will have;<\/p>

Induction:<\/span><\/b> You will be inducted on the UDC philosophy and model, policy, procedures and how to support a team of caf\u00e9 facilitators and volunteers<\/span><\/span>. In the first 2 months, you’ll visit all our cafe sites and meet the wonderful cafe teams.\u00a0<\/span><\/p>

Ongoing Development:<\/span><\/b> You will receive on-the-job training, with more formal dementia training with Dementia Training Australia intersected throughout the year.<\/span><\/span><\/p>

Environment:<\/span><\/b> You will work in a healthy and safe environment <\/span><\/span>with your own desk in our UDC open-plan office.\u00a0<\/span><\/span><\/p>

The selection process for this role is designed to ensure the right fit for both the candidate and our community. It will involve;<\/p>

Interviews:<\/b> One to two interviews for shortlisted applicants.<\/p>

Site Visit:<\/span><\/b> An opportunity to visit a dementia caf\u00e9 to observe the program and meet our volunteers<\/span><\/span>.<\/span><\/p>

Reference Checks:<\/b> Professional reference checks, which must include a current or previous line manager.<\/p>

Compliance:<\/span><\/b> During the probationary period, UDC will facilitate the application for an up-to-date Police Check and Working With Children Check (WWCC).<\/span><\/span><\/p>
